Choose an access mode for a share link
Outcome: a link whose gate matches the recipient. You need a document in scrolly (see the upload lesson).
Where the setting lives
- Open Documents, click the document, then click Manage links.
- In the create form, the access mode selector lists the four modes. Pick one before you click Create link; the fields below it change with your choice.
The four modes, and the extra field each one adds
- Public (anyone with the link): no extra field. Anyone holding the URL can open the document. Use it for material you would put on your website.
- Password protected: a Password field appears, 4 to 256 characters. Share the password through a different channel than the link. Recipients see a password prompt, then the document.
- Email verification: no extra field. Recipients enter their email, confirm it, and the document opens. Your analytics then show them by email.
- Allowlist (specific emails): an Allowed emails box appears. Enter one address per line, or comma-separated, up to 500. Only those addresses pass the email check.
Create it
- Choose the mode and fill its field.
- Optionally set Expires (optional).
- Click Create link, then Copy link.
Expected result
The Share links list shows the new link with a chip naming its mode. Open the link in a private window: a public link renders immediately, a password link asks for the password, an email or allowlist link asks for an email address.
If something looks wrong
- Create link is disabled: the document already has 3 active links on the free plan. Revoke one.
- An allowlisted recipient cannot get in: check the address for a typo and confirm they are confirming the same address you listed.
- You need a different mode: create a second link with the new mode, send it, and revoke the first.
FAQ
Frequently asked questions
- Can I change a link's mode later?
- Create a new link with the mode you want and revoke the old one. Each link keeps its own mode, so people holding the old link lose access the moment you revoke it.
- What does a recipient see on a password link?
- A password prompt on the app origin. After entering it, the document renders. The password is on the link, not inside the file, so you can change or remove it without re-sending the file.
- Do allowlisted people need a scrolly account?
- No. They confirm their email address through the gate and the document opens. Only addresses on the list can pass.
